Collect and analyse data

This stage focuses on data collection, types, testing, governance and analysis. This involves planning and testing your data collection processes and tools, and determining your data responsibilities and analysis methods.

Stage 3 activities

  • Plan your data collection including who, when and how

    You need to specify your data sources – and what data type you need – for each and every metric that you want to track. You will also need to determine when to collect the data and who will be collecting it and how.

  • Test and launch your data collection tools (optional)

    If you are developing a data collection tool – such as a new survey – it is important to test the tool with the people who will apply it as well as on a small group of end users.

  • Consider data collection and sharing regulations and standards

    If your evaluation requires collecting data on people, you must consider how you will collect, store and share this personal data to ensure your initiative adheres to all data protection regulations.

  • Support the data collection where needed

    If data collection cannot be carried out by your evaluation team, consider liaising with data collection and analysis teams – such as Business Intelligence (BI) leads and frontline staff – to ensure your data collection approach is fit for purpose.

  • Analyse your data from start to finish

    Summarise your data at regular intervals using statistical tools – from simple statistical measures (ie averages and standard errors) to more complex analysis (ie regression modelling). This can be done by your evaluation team or others depending on the level of complexity and the skills required.

Stage 3 checklist

  • I have determined which data sources I will be using and whether the data already exists (ie in routinely collected data sources) or if I need to source all-new data.
  • I have assessed whether I will be collecting qualitative data or quantitative data – or both.
  • I have determined who will collect outcomes data and how often.
  • I have worked out if I need to test and launch data collection tools to source the relevant data.
  • I have considered how I will manage information governance, ethics and the impact on inequalities.
  • I have determined that I can do the collection myself or if I need support from other frontline staff or BI colleagues or professionals.
  • I have determined how I will collect data – and the cost if applicable – and how much staff time (if any) will be required.
  • I have worked out who will analyse the data, what methods will be required and what statistical analysis I will need.
  • I have determined the timeframe for the analysis and how often I will need to review the data.
